02What we collect

Depending on the service, we may collect:

Identity and contact data

  • Name, email, phone number, postal address, date of birth, emergency contact.

Health and lifestyle data (special category data)

  • Information you give us in the PAR-Q and on an ongoing basis: medical conditions, medications, injuries, pregnancy, allergies, intolerances, mental-health-relevant information you choose to share.
  • Training, sleep, stress, and nutrition information you log in coaching apps or share with us.
  • Body measurements, weight, body composition, photographs (only if you choose to share them).

Financial data

  • Payment records. We do not store full card details; payments are processed by Stripe, who hold this data.

Communications and usage data

  • Messages you send us, session notes, attendance records, programme history.
  • If you use our coaching app, the data the app collects (workouts logged, check-ins, etc.).
  • If you visit our website, basic technical data such as IP address and browser type.

03Why we collect it and the legal basis

Contract: to deliver the services you have asked us to provide.

Legitimate interests: to run our business, keep records, communicate with you, and improve our services. We balance this against your rights and only rely on it where appropriate.

Legal obligation: to meet our accounting, tax, and regulatory duties.

Explicit consent (for special category data and marketing): for health information, photos used in marketing, and any direct marketing emails. You can withdraw consent at any time.

04Who we share it with

We do not sell your data. We share it only with the following categories of recipient, and only as needed:

  • Payment processors (e.g. Stripe).
  • Coaching app providers (e.g. Trainerize).
  • Email and communication tools (e.g. Microsoft 365).
  • Our accountant and professional advisers, where required.
  • HMRC, the ICO, or law enforcement, where we are legally required to.

05International transfers

Some of our suppliers (for example US-based app providers) may process your data outside the UK. Where this happens, we ensure appropriate safeguards are in place, typically the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.

06How long we keep it

  • Active client records: for the duration of the relationship and 7 years afterwards, to meet HMRC requirements.
  • Health questionnaires and session notes: 7 years, in line with insurance and professional-body recommendations.
  • Marketing data: until you unsubscribe or ask us to delete it.
  • Enquiries that don't lead to a contract: up to 2 years.

07Your rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you.
  • Have inaccurate data corrected.
  • Have your data erased in certain circumstances.
  • Restrict or object to processing in certain circumstances.
  • Receive your data in a portable format.
  • Withdraw consent at any time where we rely on consent.
  • Complain to the Information Commissioner's Office (ico.org.uk).

08Security

We take reasonable technical and organisational measures to keep your data secure, including access controls, encrypted storage where available, and regular review of the suppliers we work with. No system is perfectly secure, and we cannot guarantee absolute security.

If our website uses cookies, the details are in our separate Cookie Policy. We use only strictly necessary cookies by default; any analytics or marketing cookies require your consent.
